Procurement Assistant

Description:

Requirement & Roles:

 

  • Diploma or Bachelor’s degree in Business Administration, or related field.
  • Minimum 2 years of experience in procurement.
  • Good knowledge of local markets and suppliers in Oman.
  • Strong negotiation and communication skills and proficiency in MS Office.
  • Omani driving license (preferred).

Local Purchasing

  1. Source and purchase stationery, pantry supplies, workshop tools, spare parts, and other daily operational items.
  2. Identify, evaluate, and select local suppliers based on price, quality, and delivery capability.
  3. Obtain multiple quotations and prepare comparison sheets for approval.
  4. Negotiate pricing, payment terms, and delivery schedules with suppliers.

Procurement Operations

  1. Prepare Purchase Requests (PR) and issue Purchase Orders (PO).
  2. Follow up with suppliers to ensure on-time delivery of materials.
  3. Maintain accurate records of all purchases, invoices, delivery notes, and approvals.

Inventory & Stock Control

  1. Coordinate with storekeepers to check stock levels and reorder as needed.
  2. Monitor usage of stationery and pantry items to avoid shortages.
  3. Support the workshop team with urgent purchase requirements.

Vendor Management

  1. Maintain and update a database of local suppliers.
  2. Build and maintain strong relationships with vendors to ensure reliable service.
  3. Evaluate supplier performance based on quality, price, and delivery reliability.

Compliance & Reporting

  1. Ensure all procurement activities comply with company policies and procedures.
  2. Prepare weekly and monthly purchasing reports.
  3. Support annual budgeting for office, pantry, and workshop supplies.

Fuel Consumption Monitoring

  1. Monitor and track fuel (petrol) consumption for company vehicles.
  2. Prepare monthly reports on fuel usage to ensure cost control

Vehicle Maintenance & Cleanliness

  1. Monitor the condition, maintenance schedules, and cleanliness of company vehicles
  2. Coordinate regular servicing and urgent repairs with workshops or service centres
  3. Ensure vehicles are kept in good working condition and presentable at all times
  4. Maintain records of vehicle maintenance, repairs, and cleaning schedules
